The Shared Services Centre (SSC) delivers policy guidance, operational support, and high-quality transactional services to UNOPS offices globally, including administrative support for HQ and Copenhagen-based personnel. SSC comprises three core teams: HQ Administration & ICT Helpdesk, Corporate Administration, and Health, Safety, Social and Environment (HSSE). Under the guidance and supervision of the GSSC Payroll Manager and the day-to-day guidance / direct supervision of a Payroll Officer / Payroll Senior Officer, the Payroll Assistant supports the provision of payroll services in the GSSC and ensures high quality, accuracy, and consistency of work. The Payroll Assistant promotes a client-oriented approach consistent with UNOPS rules and regulations.

The Payroll Assistant supports the accurate and timely administration of payroll services provided to personnel. The incumbent is responsible for ensuring compliance with UN/UNOPS rules and regulations, maintaining data integrity and confidentiality, and contributing to efficient financial and human resource operations.

1.Process UNOPS payroll accurately and on time.
Process and maintain UNOPS personnel payroll information, including new hires, terminations, changes in pay and deductions, and payment instructions.
Calculate and process personnel pay, including earnings and deductions.
Maintain and update payroll records and databases
Archive payroll supporting documents properly
Reconcile and balance payroll accounts
Keep abreast of changes in UN/UNOPS payroll policies and rules
Collaborate with payroll stakeholders to ensure the payroll process is in compliance with UNOPS regulations and rules
2.Respond to payroll-related queries/requests and resolve payroll-related issues
Attend to payroll-related queries timely and accurately, and ensure responses to queries conform to the provisions, rules, and regulations of UNOPS
Investigate erroneous entitlements and take appropriate corrective actions.
Make adjustments in a timely manner to counteract previous mistakes and get payroll back in balance
Maximize the use of technology to keep the projects/clients informed of their payroll elements and changes thereto, and communicate with local offices regarding missing documentation or any other issues related to discrepancies between their entitlements and claims.
Provide payroll reports to the stakeholders in compliance with the UNOPS Financial Rules and Regulations
Support relevant coordination with the internal stakeholders and/or ad-hoc payroll adjustment process in alignment with the monthly payroll account reconciliation
Coordinate with internal stakeholders to ensure quality administration and payroll process
3.Support in the facilitation of knowledge building and knowledge sharing, focusing on the achievement of the following results
Participate in the training for the operations/ projects personnel on Payroll
Contribute to knowledge networks and communities of practice
Perform testing for the accuracy of the implementation and/or system enhancement

Required:
Secondary school (or equivalent) with 4 years of relevant experience OR
A bachelor’s degree (or equivalent) in any discipline with 0 years of relevant experience is required.
Desired:
A globally or nationally recognized professional certificate in Payroll is desired.

Relevant experience is work in any area of supporting payroll, accounting, HR administration, and/or General Administration.
Experience in the use of collaboration and productivity tools (e.g. MS Office, G-Suite, etc) and web-based management systems are required.
Desired:
Experience of working in multicultural environments or UN system organizations in a developing country is desired.
Experience in development or humanitarian contexts is desired

- For retainer contracts, you must complete a few mandatory courses (they take around 4 hours to complete) in your own time, before providing services to UNOPS. Refreshers or new mandatory courses may be required during your contract. Please note that you will not receive any compensation for taking courses and refreshers.
